How to plan an on-site video podcast.
A professional podcast recorded at an office, venue or event begins with the conversation and the room. The production system should follow those decisions instead of forcing the show into a preset equipment package.
To plan an on-site video podcast, define the show format, participant count, recording space, episode schedule, remote-guest requirements and final deliverables first. Those choices determine camera coverage, microphone count, lighting, crew, setup time and the files that should be recorded.
A two-person interview does not automatically require a complicated studio. It requires a suitable room, individual clean audio for each participant, dependable camera coverage, controlled lighting and a workflow that can be repeated without disrupting the conversation.
1. Start with the show, not the equipment
Before discussing cameras or microphones, write down what the audience will experience. Is the show a host-and-guest interview, a three-person panel, an executive update, a live program or a series recorded in batches? Will participants sit at a table, in lounge chairs or stand at a presentation area? Will anyone join remotely?
The format affects almost every production decision. A fixed two-person conversation is different from a panel whose guests change between episodes. A live program requires real-time switching and graphics decisions that a recorded series can defer to post-production.
Define these six items first
- Number of hosts and guests in the room
- Whether remote participants must see and hear the room live
- Target episode length and number of episodes per recording day
- Whether the program is recorded, streamed live or both
- Who will edit, publish and create short-form clips
- What visual connection the set should have to the organization
2. Choose the room by listening before looking
A room can look impressive and still be difficult to record. Hard parallel surfaces, exposed glass, mechanical noise, hallway traffic and active HVAC systems can make voices sound distant or inconsistent. Large windows may also create changing exposure and color throughout a long recording day.
Visit the room during the same hours the podcast will be recorded. Listen for elevators, air handlers, street noise, adjacent meetings and doors. Then evaluate whether cameras and lights can be positioned without blocking exits, walkways or normal office operations.
Do not judge a room from a photograph alone. A short technical walk-through can reveal noise, power, access and camera-position problems that are invisible on a floor plan.

3. Plan camera coverage around editing choices
For a two-person conversation, a common approach is one wider shared angle plus individual coverage for each participant. The wider angle establishes the relationship between speakers; individual angles preserve reactions and give the editor clean options when someone interrupts, pauses or references material off camera.
More cameras are not automatically better. Every position needs a useful purpose, a clear line of sight and consistent color. In a small room, adding another camera can introduce wider lenses, visible equipment and compromised framing. The correct number comes from the desired edit and available space.
4. Record every participant clearly and separately
Audio carries the conversation. Each primary participant should normally have an individual microphone channel so levels, interruptions and room pickup can be managed independently. A mixed program feed is useful for monitoring and fast delivery, while isolated tracks preserve control for editing.
Microphone selection depends on the set, participant movement and visual style. A visible broadcast microphone can help signal “podcast,” while discreet lavalier or other microphone approaches may fit an executive-interview aesthetic. The decision should consider the room and the desired image together.
5. Design lighting for people and the location
On-site lighting should make participants look consistent without erasing the character of the office or venue. The production team may supplement window light, reduce uncontrolled overhead light, shape faces and add separation from the background. Brand screens and practical fixtures should support the image without becoming brighter than the people speaking.
When recording several episodes, lock the room layout and lighting positions before the first conversation. Photograph or document the setup if the series will return to the same site.
6. Treat remote guests as part of the set
A remote guest needs more than a meeting link. The people in the room must hear the guest without creating feedback, and the remote participant needs a useful view and audio return. The production plan should define how the remote feed is recorded, how it appears in the final frame and what happens if the connection becomes unstable.

7. Build a realistic recording day
Setup, participant arrival, sound checks, breaks, resets and breakdown all require time outside the published episode length. Batch recording is efficient when the set remains stable, but the schedule should still allow participants to reset and the crew to confirm files between episodes.

8. Define delivery before recording
“We need the podcast files” is not a complete delivery specification. Decide whether your team needs a switched program, isolated cameras, isolated audio, edited full episodes, captions, graphics, vertical clips, thumbnails or publishing support. Confirm frame rates, resolution, naming and delivery method when another editor will receive the media.
These decisions affect what must be recorded on site. A deliverable requested after production may depend on an isolated source that was never captured.
