The technical plan should begin with the agenda, rooms, presenters and audience. Equipment, crew and backup paths come after the production team understands what must happen and what cannot be allowed to fail.
Corporate event AV planning converts the agenda into a room-by-room system for audio, presentations, screens, lighting, cameras, recording, streaming and technical staffing. The earlier the production team understands the venue and program, the more accurately it can plan access, rehearsals, signal paths and contingencies.
Send the production company the latest agenda, venue details, room list, audience estimates, presenter formats and delivery requirements. The company should translate that information into a technical scope rather than asking the planner to invent an equipment list.
1. Build the plan from the agenda
The agenda reveals when rooms are active, where attendees move, how often presenters change and which moments carry the most risk. A general session with executive remarks, videos and a panel requires a different workflow from breakout rooms running repeated educational sessions.
Mark every session that includes a presentation, panel, playback cue, remote speaker, audience microphone, recording or live stream. Identify overlaps: simultaneous sessions require separate equipment, operators and content workflows even when they appear identical on paper.
2. Create a room-by-room production map
List every technical space, including the main stage, breakouts, green room, registration, overflow room, sponsor area, backstage and production office. For each room, document capacity, use, schedule and how content enters or leaves the space.

3. Advance the venue before load-in
A venue walk-through should confirm room dimensions, ceiling height, rigging restrictions, power, internet, loading access, elevators, union or house-labor requirements and audience sightlines. Ask what must be ordered through the venue and what outside vendors may provide.
Loading windows and freight-elevator rules can affect the crew schedule as much as technical complexity. Internet service should be discussed in operational terms: dedicated or shared, wired handoff location, available bandwidth, firewall restrictions and support availability during the event.
A floor plan shows dimensions. It does not show the freight route, HVAC noise, a column blocking the camera position, a ceiling that prevents the intended screen height or a shared network under event-day load.
4. Plan audio around intelligibility and interaction
Audio planning begins with who speaks, where they speak and how the audience participates. Determine whether presenters use handheld, lavalier, headset or podium microphones; how panels transition; whether playback includes audio; and whether remote participants must be heard in the room.
Wireless coordination, microphone backups and an agreed handoff process matter when speakers change quickly. Breakout rooms need a consistent standard so presenters do not encounter a completely different workflow from room to room.
5. Design screens for content and sightlines
Screen type and size should follow room width, audience depth, seating orientation and the detail contained in presentations. A screen that can display a large photograph may still be too small for spreadsheets, dashboards or dense text.
Confirm presentation aspect ratio, playback formats, confidence-monitor content and who advances slides. Decide how late files will be accepted, where they are checked and how approved versions reach every room.
6. Separate room atmosphere from camera lighting
Lighting must support the in-person experience and any cameras in the room. A stage may appear bright to the eye while faces remain uneven or poorly separated on camera. Discuss scenic elements, stage wash, audience light, walk-on paths, lectern positions and color choices alongside the video plan.
7. Define cameras, recording and streaming separately
IMAG, recording and live streaming are related but not interchangeable. IMAG helps an in-room audience see speakers. Recording preserves sessions. Streaming sends a program to remote viewers. Each may need different framing, graphics, audio mixes and redundancy.

8. Assign responsibility, not only equipment
A complete scope should identify who operates audio, presentations, cameras, switching, lighting, streaming and room communication. It should also identify the production lead who coordinates these departments with the planner, venue and speakers.
For multiple rooms, define whether each room has dedicated coverage or a shared technician. Shared coverage can be appropriate for simple, staggered sessions; it becomes risky when simultaneous sessions include active microphones, playback or recording.
9. Protect time for content checks and rehearsal
Rehearsal is where presenters learn stage movement, microphones, confidence monitors and cueing. It is also where the production team confirms playback, graphics, remote speakers and timing. Executive availability may be limited, so distinguish a technical rehearsal from a full presenter rehearsal and schedule both intentionally.
10. Decide what needs a backup path
Not every cable needs duplication, but critical functions should have a recovery plan. Review microphones, playback, presentation computers, recording, streaming encoders, internet and power. The production team should know which failures can be resolved invisibly, which require a pause and who has authority to change the show flow.
