Common corporate event AV problems and how to prevent them.
Most show-day failures begin as planning gaps: late content, unclear ownership, untested signals or schedules with no room to recover.
Prevent event AV problems by advancing the venue, centralizing presentation content, rehearsing real show conditions and defining backups for critical audio, video, power, network and recording paths. Assign a decision-maker before doors open.
Redundancy matters, but preparation prevents more failures than spare equipment alone. A backup only works when it is connected, tested and assigned to a person who knows when to use it.
Problem: the schedule leaves no technical time
When access begins too close to doors, every other task becomes compressed. Venue delays, room changes and late scenic work consume the time intended for testing. Build the schedule backward from doors and protect load-in, system test, content review and rehearsal as distinct phases.
Problem: presentations arrive in multiple versions
Last-minute files create aspect-ratio changes, missing fonts, broken media and uncertainty about which deck is final. Use one content owner, one naming convention and a defined playback system. Test embedded videos with sound and keep the approved files available locally.
Problem: microphones work in rehearsal but fail during the show
Changes in presenter position, battery state, wardrobe, room occupancy and radio conditions can affect audio. Coordinate microphone assignments, fit transmitters before the cue, monitor throughout and keep tested spares ready. Confirm the show caller knows how to communicate a microphone change.
Problem: the room cannot see the content
A screen can be technically bright and still be too small, blocked or unreadable from the back. Evaluate viewing distance, sightlines, ambient light and font size. Walk the room from audience positions with real content, not only a test pattern.

Problem: livestreaming is added late
A livestream changes audio routing, graphics, camera coverage, staffing, network and rehearsal. Confirm the destination account, audience access, moderation and privacy early. Test the complete signal path to the actual platform and define what happens if the connection is interrupted.
Problem: nobody owns the final decision
The production team needs one authorized event contact for timing, content and scope decisions. During the show, a caller should coordinate cues across stage, audio, video, lighting and remote contributors. Conflicting instructions are themselves an operational risk.
Rehearse transitions, not only speeches
The most vulnerable moments are often walk-ons, microphone handoffs, panel changes, video playback and remote connections. Rehearse those transitions in sequence. Confirm each operator understands the cue, expected result and fallback.
